Nature of the work:
- The principal and customary work of the employee in this employment class consists in performing various kinds of technical tasks of an administrative nature in areas related, among others to the management of financial and material resources and to school organization. In his/her work the administration technician may support personnel as well as users of the department concerned.**Responsibilities**:
- Review proposed changes and make recommendations to all registration processes.
- Liaise with Deans, Chairpersons/Department Coordinators, IST, Admissions, and Academic Advisers, Facilities Management and Student Accessibility center over the various registration activities.
- Perform other related tasks as assigned by the Registrar.
Course Allocation:
- Organize, maintain and oversee the development and maintenance of course allocation systems and registration modules
- Prepare multiple analysis of course demand based on student choices by program.
- Organize and coordinate all course allocation activities under the authority of the Registrar’s office (information gathering, setting deadlines, data entry, data verification, corrections).
- Train and oversee course allocation from Chairs and Coordinator of all technical programs.
- Responsible for revision of course allocation once grade deadline is passed
- Responsible for implementing and updating student schedule constraints
- Train and oversee the registration team
- Implement approved student progression plans with support of the Associate Dean of Academic systems
Online Registration:
- Responsible for maintaining and updating registration associated webpages within the timetable and registration guide as well as the Dawson College website.
- With the support of the Manager of Scheduling and Registration, coordinate and distribute the registration information to students by semester.
- Responsible for solving problems that arise during registration in consultation with the staffing department
- Prepare the Day registration schedule by program
Late Registration/Course Change activities:
- Organize and gather all late registration requests
- Responsible for all late registration activities (information gathering, verdict rendering and communication).
- Oversee and trouble shoot technical issues that arise during late registration and course change.
- Organize, maintain and oversee all course change modules.
- Train staff members for preferential course change chat.
**Requirements**:
- Qualifications:
- In the administration field, have a diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, a diploma of college studies (DEC) in office automation with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
- Conditions:
- Must have excellent organization skills and strong critical thinking skills
- Must be able to work under pressure while respecting strict deadlines
- Knowledge of WordPress
- Ability to communicate effectively with various internal parties
- Intermediate oral French communication skills
- Intermediate level Excel and Word
- Knowledge of the requirements in working with administrative systems on a mainframe (an asset)
- Knowledge of the student information system (Clara) and TPHI (an asset)
