Project Coordinator

We are looking for a go-getter, relationship builder and solution-based individual to become our new Project Coordinator working in a fast-paced environment.
Key Objectives:
Client Relations:
- Establish strong relationship with clients, and act as their main point of contact to treat all project inquiries and requests;
- Schedule and hold regular client meetings to update the stakeholders on program performance; Provide on-going feedback to stakeholders;
- Appropriately report any potential projects and systems issues.
Projects Coordination:
- Coordinate projects and programs between all departments, stakeholders and vendors by liaising with appropriate resource persons to obtain and provide information;
- Manage allocations on client specific timeframes;
- Ensure data client integrity; update and maintain target lists and program audiences;
- Prepare and analyse reports for stakeholders in a timely manner;
- Build recommendations and adjust projects as needed to meet KPIs;
- Keep Team Manager, Customer Service Desk updated on projects business rules and requirements;
- Support the Project Manager in implementing new projects;
- Assist in the elaboration of company procedures and ensure that the procedures are kept up-to-date;
- Pro-actively identify and resolve problems within area of responsibility.
Financial Responsibilities
- Track PO, prepare files for invoicing and monthly accruals, and ensure project invoicing and accounting is accurate and timely;
- Identify and analyse discrepancies and errors. Correct errors and follow up on issues;
- Assist in preparing quotes and ensure their accuracy prior to submission to a client;
- Identify opportunities to offer additional services to broaden the scope of the current projects by assessing client needs;
Inventory Management
- Manage inventory and track backorders for items related to allocated projects, including receiving items, destructions, forecasted quarantines;
- Liaise with the warehouse for allocated projects.
Other Duties
- Perform system testing on various systems to ensure optimum functionality with a focus on meeting client expectations (including reporting functions);
- May perform any other clerical and project support duties, as may be required, including but not limited to filing and archiving program records and contracts.
Job Holder Specification:
- Minimum of 3 year of relevant experience, 2 or more years of experience in an office environment.
- Excellent bilingual (English/French) written and oral communication skills with both internal and external customers.
- College diploma or equivalent
- Experience in the healthcare industry is a definite asset
- Good understanding of customer needs and relations;
- Adept to working in a fast-paced, customer oriented environment.
- Strong organization and time management skills, must be able to work on multiple projects at the same time
- Analytical approach
- Decisive, proven pro-active work style while using diplomacy, resourcefulness and judgment
- Creative, solution driven with attention to details
- Embraces and fosters company values and company policies and initiatives
- Strong knowledge of MS office
