Job Summary
The Associate Director, Student Services, is responsible for overseeing and managing the daily operations of the Forestry Student Services, supporting the academic and personal development of approximately 1,200 undergraduate forestry students in the Faculty of Forestry.
The Associate Director’s portfolio includes managing a variety of undergraduate academic services, such as handling academic appeals (including failed year appeals), monitoring continuation and promotion requirements, ensuring graduation standards are met, overseeing student communications, enhancing the student experience, and maintaining student records.
Organizational Status
Forestry Student Services is a hub that facilitates and enhances student academic and personal development from admission to graduation. The Forestry Student Services office provides academic advising and support to all forestry students while also providing wellness support and, when appropriate, providing referrals to the best available service available at UBC for students, so that students can become successful and engaged university learners, prepared to achieve their personal and professional goals.
The position reports to the Director, Forestry Student Services and is within the portfolio of the Associate Dean, Students. The position will supervise management professional and CUPE 2950 staff.
The Associate Director also liaises with peers in other faculties; numerous university-wide services such as International Student Advising, Student Development & Services, Centre for Accessibility, Health & Wellness, and Enrolment Services.
Work Performed
Strategic Operations
- Works with the Forestry Student Services team as a whole to develop and assess resources and supports to maintain our services while making sure those services are scalable to accommodate for growing the faculty student population.
- Cultivates, builds and maintains relationships with key stakeholders including University departments and Faculties; student groups and clubs; and other student services.
- Develop and oversee the implementation and assessment of a communication strategy aimed at keeping current students informed of progress through their degrees and of the services available to support students throughout their time in the Faculty of Forestry.
- Manages special projects assigned by the Director, Forestry Student Services liaising with the Associate Dean, Students, the Associate Dean, Academic, Associate Dean, Asian Strategies, and Assistant Dean, Professional Education and International Collaboration.
- Represents Forestry by participating on University Wide and departmental committees as required.
- Manages direct reports, including recruiting, hiring, managing performance, disciplining, and direction and assigning of work.
Academic Services
- Responsible for implementing advising policies, practices and procedures for the Forestry Student Services team in support of the whole forestry undergraduate student body.
- Create, implement, review, map and assess processes to streamline, automatize and improve all of the services delivered by the Forestry Student Services team.
- Maintains current knowledge of academic advising standards and best practice by collaborating and liaising with campus wide peers, by pursuing relevant training offered within UBC as well as the wider educational landscape. Makes strategic adjustments to reflect current standards of practice.
- Develops and maintains a knowledge base of worldwide educational systems in order to advise students participating in exchange programs or considering taking courses outside of UBC
