**SATELLITE COMMUNITY HOMES IS SEEKING A FULL TIME TENANT SERVICES COORDINATOR**
**JOB TITLE**:Tenant Services Coordinator
**CLASSIFICATION**:Level 2, Salary range $53,989.88 - $64,210.13 plus comprehensive benefits
**REPORTS TO**:Tenant Services Manager
**POSTION SUMMARY**:The Tenant Services Coordinator (TSC) provides administrative support services to staff in the area of tenant services including timely administrative and communications support to the Tenant Services Manager and Facilities Manager. The TSC is a team player, a quick learner and open to continuous development. This role also provides backup support to the main reception function including information technology, phone calls, rental payments and general inquiries.
**TASKS**:
**1. Tenant Services and RGI Administration ** a) assist Tenant Services Manager in the clerical duties of the tenant service function and support all other staff by the timely communication of required information, etc. b) ensure that the batch of annual income and asset review packages are prepared and distributed at the beginning of each month based on residents’ original move in dates c) compile and file both paper and electronic documentations submitted by rent geared-to-income tenants for annual income and asset reviews as documents come in d) employ excellent time management skills to meet deadlines while managing multiple tasks with thoroughness and accuracy e) prepare RGI calculations for all geared-to-income tenants prior to move-in and annually thereafter, or more often as required for approval by the Tenant Services Manager f) review and initial any RGI calculations prepared by the Tenant Services Manager g) gather income verification forms for prospective tenants prior to scheduled move-in day h) maintain all files in file storage areas, making sure cabinets are locked at the end of each day i) prepare lease agreements and new move-in packages for the Tenant Services Manager j) generate move-in and move-out tenant letters and send any bad debt amounts over to collections and report previous tenant arrears to the Region k) maintain market/BAMR waitlists
**2. Other Administrative Support ** a) designated parking - coordinate and assign parking spots and parking stickers b) file appropriate follow-up information/documentation, maintain tenant files, general information files as well as items filed electronically in Arcori as required, addressing missing documentation. c) advise the Tenant Services Manager of any financial adjustments or corrections. d) generate tenancy and maintenance form letters, which address repetitive problems as they arise within the portfolio - i.e. noise problems, pet issues, neighbourhood complaints, parking enforcement, 24-hour notices.
**3. Financial Support ** a) enter and prepare payment batches and bank deposits for cheque and EFT rent payments at the beginning of each month using designated software when Reception Services Coordinator is not available. b) update market rent amounts in designated software as required before the effective dates each year. c) administer market rent increases and notify the tenant by mail 90 days in advance, as required under current legislation d) work closely with tenants around rent arrears including repayment plans, late notices, arrears reporting and any required Landlord Tenant Board (LTB) action to ensure arrears are at a minimum e) work closely with tenants around maintenance charge backs including repayment plans; forwarding to collections. f) Input bad debt according to internal process. Forward bad debt at move out to Region of Waterloo and Collections Agency.

**EMPLOYMENT GUIDE**:
Diploma or degree from a recognized university/college in a business or social service program plus 2 years combined administrative and service experience in the Affordable Housing sector.
Demonstrated organizational skills, including the ability to multi-task. Proficiency in cloud-based software including Office 365 and other housing/maintenance-based software. Possess an ability to relate well with a wide range of people and a maturity which indicates an ability to perform tasks and to provide exemplary customer service.
