In this role, you will handle day-to-day scheduling, support recruitment and onboarding, and provide frontline HR assistance to staff and managers. Your work will directly contribute to smooth operations and a positive employee experience across the site. Key Responsibilities Coordinate and maintain schedules for full-time, part-time, and casual care staff, ensuring safe and adequate staffing levels at all times. Respond promptly to sick calls, vacation requests, shift changes, and last-minute coverage needs with accuracy and professionalism. Resolve scheduling conflicts and collaborate with managers to meet operational needs Support attendance management, performance documentation, and workplace investigations Prepare and process HR documentation—including employee files, WorkSafe claims, OH&S reports—and submit required forms to Head Office in a timely manner. Support recruitment by screening applicants, booking interviews, preparing hiring documents, and assisting with onboarding. Maintain organized and compliant HR and scheduling records, both digital and hard copy. Provide reception and general administrative support as needed to ensure smooth daily operations. Perform other related duties as assigned to support the HR and scheduling functions. Ideal Candidate Completion of a high school diploma (post-secondary education in HR, business, or accounting is an asset). Minimum 2 years of recent experience in scheduling and HR administration, ideally in a long-term care or healthcare setting. Experience working in a unionized environment is a plus. Accounting background or experience with payroll entry/reconciliation is an asset. Excellent computer skills with advanced proficiency in Microsoft Excel (e.g., formulas, pivot tables, data analysis) and strong Microsoft Word skills. Strong ability to multi-task, prioritize, and remain organized in a fast-paced, high-volume environment. Exceptional attention to detail and accurate data entry skills. Demonstrated critical thinking and problem-solving abilities, especially when resolving scheduling conflicts and responding to unexpected staffing challenges. Strong verbal and written communication skills in English.
