What you will do…
The Intake Worker is responsible for the intake of clients and will deliver quality service within a fast-paced and target-driven environment. This role will be in charge of accurate records keeping and data entry. This important work will help us highlight the value that immigration brings to Waterloo Region.
- Provide welcoming first line customer service.
- Create positive and productive relationships with clients.
- Greeting visitors and directing them appropriately
- Responding to general client inquiries.
- Answering telephones, directing calls and recording messages for office employees and clients
- Ensure accurate information is entered and uploaded in all required systems within 2 working days for all client interactions.
- Book and cancel appointments in HARTs (language database) as well as make appropriate referrals to programs and assessments.
- Support staff by making appointments through online scheduling tools that are used by the teams.
- Monitor referral platforms and distribute referrals to Settlement Workers, Case Managers and Other Programs.
- Maintain Information Management Systems by creating client files and entering client data into the OCMS and HARTS.
- Comply with data integrity and security policies on all systems: including but not limited to the OCMS and HARTS. Confirm data integrity by reviewing data for deficiencies or errors. Correct data incompatibilities and check outputs.
- Use office equipment to photocopy/scan immigration documents for eligibility purposes and respond to all language-related inquiries. Keep information confidential.
- Collaborate with other internal and external partners as deemed appropriate.
- Participate in community events to promote YMCA Programs and Services
- Prepare internal reports utilizing internal systems.
- Attend and actively engage in various internal and external meetings, representing the YMCA for the purpose of case conferencing, professional development, community engagement and relationship building.
- As always, there might be other duties as assigned.
What you will bring….
Ideally you would have 2-3 years of employment services or social services experience. Completion of Community College degree/diploma in Human Services and knowledge of Microsoft Office. Knowledge of immigration categories and eligibility for language training would be an asset.
In this role, you will work directly with client information so previous experience working with confidential data and client information is strongly preferred accompanied by strong oral and written communication skills. We are a very diverse and multicultural office, so your native knowledge of a second language would be an asset (esp. Arabic, Amharic, Tigrinya, Spanish, Dari).

This role requires regular travel across the region, which may not always be easily accessible through public transit. The employee must be able to arrange their own transportation to these sites.
