At AiNails & Spa, we are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team.

About the Role

This is a full-time permanent position working 35 hours per week in an office environment. As an Administrative Support Specialist, you will be responsible for providing administrative support to our management team, ensuring seamless day-to-day operations, and maintaining a high level of productivity.

The ideal candidate will have 7 months to less than 1 year of experience in an administrative role and a secondary (high) school graduation certificate.

Responsibilities
  • Arrange and coordinate seminars, conferences, and other events as needed.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Schedule and confirm appointments for the management team.
  • Answer telephone calls, relay messages, and direct visitors to the correct contacts or service areas.
  • Oversee the preparation of reports and maintain accurate records.
  • Order office supplies and manage inventory levels.
  • Greet clients and guests, providing exceptional customer service.
  • Set up and maintain manual and computerized information filing systems.
  • Type and proofread correspondence, forms, and other documents.
  • Perform data entry tasks efficiently.
  • Collaborate with the marketing department to understand and communicate marketing messages to the field.
  • Maintain and manage digital databases.
  • Perform basic bookkeeping tasks as required.

The estimated annual salary for this position is $43,000-$50,000, depending on location and experience.
