Job Summary

We are seeking an experienced Administrative Assistant to join our team at CANADA INC. in a retail setting. The successful candidate will be responsible for the daily operations of the establishment, including supervising a team of 1-2 people.

Key Responsibilities
  • Direct and control daily operations, ensuring a fast-paced environment.
  • Direct staff, providing guidance and support as needed.
  • Evaluate daily operations, identifying areas for improvement.
  • Open and distribute mail and other materials, maintaining a organized and efficient workflow.
  • Plan and control budget and expenditures, ensuring effective use of resources.
  • Plan and organize daily operations, prioritizing tasks and meeting deadlines.
  • Establish and implement policies and procedures, maintaining a high level of productivity.
  • Record and prepare minutes of meetings, seminars, and conferences, providing accurate documentation.
  • Schedule and confirm appointments, ensuring smooth communication with clients and stakeholders.
  • Answer telephone and relay telephone calls and messages, providing exceptional customer service.
  • Answer electronic enquiries, responding promptly and professionally.
  • Oversee development of communication strategies, enhancing internal and external communications.
  • Compile data, statistics, and other information, providing valuable insights for business decisions.
  • Order office supplies and maintain inventory, ensuring a well-stocked and efficient workspace.
  • Arrange travel, related itineraries, and make reservations, supporting business travel needs.
  • Greet people and direct them to contacts or service areas, providing a welcoming experience.
  • Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
  • Type and proofread correspondence, forms, and other documents, producing high-quality written communication.
  • Perform data entry, accurately and efficiently capturing business data.
  • Provide customer service, responding to customer inquiries and resolving issues in a timely manner.
  • Maintain and manage digital database, ensuring accurate and up-to-date information.
  • Perform basic bookkeeping tasks, supporting financial operations.
  • Consult with clients after sale to provide ongoing support, enhancing customer satisfaction.
