Job Description

As a key member of the Fraser Health team, the Executive Administrative Support Specialist plays a vital role in ensuring seamless day-to-day operations. This dynamic individual will provide administrative support to Mental Health Services, handling a wide range of tasks with precision and attention to detail.

Duties
  • Provides reception services, answering telephones, taking information, and transferring calls as necessary.
  • Maintains master appointment books for all staff members, ensuring accurate scheduling and coordination.
  • Delivers front-line screening services, assessing situations and determining the degree of urgency for new referrals.
  • Assists clients and the general public with routine information, including appointments, service contact details, and pamphlets.
Responsibilities
  • Typing and clerical services: Provides high-quality typing, transcription, and administrative support to Mental Health Centre staff.
  • Client information management: Obtains intake information, gathers client data, and processes files according to established procedures.
  • Filing and retrieval: Maintains office files, ensuring accuracy and timeliness in filing reports, correspondence, and client records.
  • Mail and supply management: Sorts incoming mail, prepares outgoing mail, and arranges for courier delivery/pick-up as needed.
  • Scheduling and meetings: Sets up appointments and arranges meetings with staff and external parties.
Requirements

To succeed in this role, the ideal candidate will possess:

  • A Grade 12 diploma, combined with a recognized Medical Office Assistant certificate and one year of related experience or an equivalent combination of education and training.
  • Excellent communication and interpersonal skills, with the ability to work effectively with others.
  • Strong organizational and time management skills, with the capacity to prioritize tasks and manage multiple responsibilities.
  • The ability to type 45 wpm and operate a multi-line switchboard efficiently.
Estimated Salary Range

$35,000 - $50,000 per annum, depending on qualifications and experience.

This salary estimate is based on industry standards for similar positions within the region.
