Scheduling & Attendance Coordinator

We are seeking a detail-oriented professional to fill the role of Scheduling & Attendance Coordinator at Extendicare Tuxedo Villa in Winnipeg, Canada.

This full-time term position involves maintaining work schedules, tracking employee time and attendance, and ensuring all shifts are covered for smooth facility operations and quality resident care.

Key Responsibilities:
  • Maintain accurate staffing schedules using Workday Scheduling System across all departments.
  • Manage vacant schedules resulting from employee absences, including unplanned absences, vacation requests, leave of absences, and terminations.
  • Identify suitable staff coverage for unfilled shifts by contacting employees and external staffing agencies.
  • Verify and reconcile scheduled hours worked by employees through daily reports.
  • Assist with leave administration activities, such as completing forms and liaising with Workers' Compensation Board.
  • Purchase, receive, distribute, and store nursing supplies.
  • Investigate Health and Safety incidents, documenting findings and reporting accordingly.
  • Provide administrative support to Operations Manager and other leadership as required.
Requirements:
  • Post-secondary diploma or certificate in office administration, business administration, bookkeeping, accounting, or equivalent experience managing employee time and attendance.
  • Experience working with seniors in long-term care settings or general healthcare industry experience is an asset.
  • Ability to thrive in fast-paced environments with changing priorities.
  • Familiarity with technical software, particularly Workday, PointClickCare, or cloud-based systems preferred.
  • Strong communication and interpersonal skills for effective collaboration with internal and external stakeholders.
  • Knowledge and experience with office equipment and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
  • Familiarity with HR, payroll, scheduling procedures, collective agreement interpretation, and application.
  • Excellent data analysis and attention to detail; critical thinking skills essential.
  • A proactive approach with ability to anticipate issues and implement solutions before they escalate.
  • Working knowledge of Occupational Health & Safety practices, principles, and legislation.
Estimated Annual Salary: $65,000 - $85,000
