About Our Opportunity

The Executive Administrative Coordinator provides critical support to the Associate Deputy Minister and Chief of System Integration. This role is essential to the effective management, coordination, and efficient operation of the office. As a key member of our team, you will help keep our office operations running smoothly.

Key Responsibilities
  • Prepare and compose confidential correspondence, reports, and presentations on behalf of senior leadership.
  • Route and prioritize all documents, incoming mail, inquiries, and correspondence.
  • Coordinate and manage schedules and calendars, as well as travel and accommodations as required.
  • Arrange meetings and events.
  • Ensure efficient workflow by managing operational processes, such as bring forward and workflow monitoring systems, and correspondence processing.
Qualifications and Experience

We are seeking a self-motivated individual with a one-year business course and five years of senior office administration/secretarial experience in government. You must possess excellent grammar, proofreading, and organizational skills, as well as exceptional ability to manage competing priorities. Strong communication skills (written and verbal) with an ability to address and manage client inquiries both in person and by phone are essential.

Working Conditions

Most of your time will be spent in a comfortable office setting. Your normal work week is 35 hours/week, 7 hours/day. You may be required to work overtime on occasion. Occasionally, you may need to move or lift objects such as boxes, inventory, or files.
