About the Role:

Minto Group is seeking a highly organized and detail-oriented Site Administrator to join our team. As a key member of our construction site team, you will be responsible for ensuring the smooth operation of our site office and providing administrative support to our construction team.

Key Responsibilities:

  • Provide administrative support to the construction team, including answering phones, responding to requests, and coordinating internal mail and courier packages.
  • Organize and manage documents in various systems, including tracking and controlling documents related to health and safety.
  • Coordinate and distribute up-to-date home plans and drawings to the trades and supervisors.
  • Perform health and safety on-site orientations for trades and conduct monthly health and safety meetings with the trades and supervisors.
  • Coordinate inspection packages for city inspectors and ensure all inspections are performed.
  • Communicate with city services to locate wires and cables before digging.
  • Maintain records related to ministry of labour-mandated site visits, including documentation to be posted and filed.
  • Participate in production meetings with Minto staff, record, and distribute minutes.
  • Order and track office supplies for the site office.
  • Review lot sightings for accuracy and ensure they comply with sales, décor, grading, construction, etc.
  • Maintain and update all hard copy and electronic files related to specific site lots, including design upgrades, site plans, etc.
  • Install and maintain all lot signage and advertising.
  • Ensure all Minto staff and trades partners abide by ministry of Ontario labour regulations and Minto's health and safety policies.

Requirements:

  • A high school diploma is required; a college diploma in office administration or a related field is an asset.
  • A minimum of two to four years of relevant office experience, with construction experience being an asset.
  • Computer skills, including Word, Excel, Outlook, and Teams.
  • Knowledge of the construction site and processes is an asset.
  • Excellent communication skills, including listening, verbal, and written communication.
