Strategic Office Coordinator

Fibretech Distributors Inc. is seeking a highly skilled Administrative Assistant to join our team. As an experienced coordinator, you will play a key role in supporting our day-to-day operations and contributing to the success of our organization.
About the JobWe are looking for a detail-oriented and organized individual who can effectively manage multiple tasks and priorities. The successful candidate will have a strong understanding of office procedures and be able to implement efficient systems and processes.
Key Responsibilities- Coordinate seminars, conferences, and other events, ensuring seamless logistics and communication with attendees.
- Develop and implement budget plans, monitoring expenditures and making adjustments as necessary to ensure fiscal responsibility.
- Design and enforce policies and procedures, promoting consistency and accountability throughout the organization.
- Provide training and development opportunities to colleagues, enhancing their skills and knowledge.
- Take minutes of meetings, seminars, and conferences, maintaining accurate records and distributing them to relevant parties.
- Determine and establish office routines, streamlining workflows and improving productivity.
- Oversee the classification and rating of occupations, ensuring accuracy and fairness.
- Contribute to recruitment strategies, identifying top talent and developing effective hiring processes.
- Schedule and confirm appointments, managing calendars and coordinating travel arrangements.
- Manage contracts, ensuring compliance and timely execution.
- Develop and implement training and development strategies, enhancing employee skills and performance.
- Answer telephone calls and respond to electronic inquiries, providing excellent customer service.
- Oversee the analysis of employee data and information, informing business decisions and driving growth.
- Compile data, statistics, and other information, presenting findings and recommendations to senior management.
- Prepare reports, summarizing key insights and trends.
- Advise senior management on strategic initiatives, offering expert guidance and support.
- Respond to employee questions and concerns, resolving issues and promoting a positive work environment.
- Order office supplies and maintain inventory, ensuring efficiency and cost-effectiveness.
- Negotiate collective agreements on behalf of employers or workers, advocating for fair labor practices.
- Oversee payroll administration, ensuring accurate processing and compliance with regulations.
- Greet visitors and direct them to relevant contacts or service areas.
- Set up and maintain manual and computerized filing systems, storing and retrieving information efficiently.
- Perform data entry, updating records and databases as needed.
- Assist with basic bookkeeping tasks, maintaining financial records and reporting.
- Supervise office and volunteer staff, providing guidance and support to ensure successful outcomes.
- Assign, coordinate, and review projects and programs, promoting collaboration and results-driven initiatives.
- Plan, organize, direct, control, and evaluate daily operations, driving continuous improvement and excellence.
The estimated salary range for this position is $50,000 - $65,000 per year, depending on experience and qualifications.
