Administrative Support Specialist for CEO Office and Philanthropy

We are seeking an exceptional Administrative Support Specialist to join our team in the CEO Office and Philanthropic Development department. As a key member of our team, you will provide high-level administrative support and coordination activities to ensure the smoothness and efficiency of both departments.
About the RoleThe selected candidate will plan, organize, and coordinate board meetings and various committees, preparing all necessary materials for these meetings. They will also draft minutes, reports, and accounts in both English and French, ensuring their accuracy and submission for approval and follow-up.
- Drafting meeting minutes, reports, and accounts in both official languages;
- Maintaining and updating the DonorPerfect database in collaboration with the external relations department;
- Cordinating scholarship awards for students;
- Performing various administrative tasks related to fundraising activities (issuing tax receipts, accounting for revenue sources, sending thank-you letters, etc.);
- Translating and correcting texts in English and French;
- Filing administrative documents;
To excel in this role, you should possess:
- A professional degree in administration or equivalent training;
- Excellent proficiency in English and French;
- Advanced skills in Microsoft Office 365 suite;
- Knowledge of DonorPerfect or similar fundraising software is an asset;
- Knowledge of Adobe Acrobat is an asset;
- Familiarity with the Montreal and Canadian artistic environment is an asset;
You should demonstrate exceptional writing and translation skills, as well as attention to detail and strong organizational abilities.
What We OfferIn return for your expertise and dedication, we offer a competitive salary range of $60,000 - $80,000 per annum, depending on experience. Additionally, you will enjoy a very advantageous defined benefit pension plan.
