Program Administrator, Medical Oncology

The University Health Network is seeking a highly skilled and organized Program Administrator to support the Medical Oncology Division. As a key member of the team, you will be responsible for managing financial activities, coordinating administrative tasks, and ensuring the efficient operation of the Division.
Key Responsibilities- Manage and provide support with financial responsibilities, including budgeting, reporting, and financial transactions.
- Coordinate faculty reviews and promotions, including organizing meetings and drafting relevant documentation.
- Provide administrative support to the Departmental Division Director, including facilitating communication, preparing reports, and booking meetings.
- Coordinate Medical Oncology Divisional Initiatives and committees, such as the strategic plan, grants, and wellness.
- Coordinate major events, such as Divisional retreats, executive committee meetings, and Research Day.
- Perform process improvement responsibilities to streamline workflow and processes in the Division.
- Manage communications for the Division, including regular email communication, creation and dissemination of newsletters, and maintaining the Division website.
- At minimum completion of a bachelor's degree in healthcare administration or business administration or recognized equivalent required.
- At minimum over 3 and including 4 years of practical and related experience and/or 2 years on-the-job training required.
- Financial processing experience required.
- Previous on-the-job computer/word-processing, database, and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
- Experience working in a healthcare environment and teaching hospital an asset.
- Excellent interpersonal and customer service skills required.
- Excellent organization and time management skills required.
- Excellent verbal and written communication skills required.
- Ability to produce high-quality and accurate work in accordance with Hospital standards required.
- Ability to work well under pressure required.
- Ability to use good judgment in assessing difficult situations required.
- Ability to work independently and as a team player required.
- Ability to perform duties in a self-directed manner required.
- Knowledge of general office practices, procedures, and standards required.
