Job Title: Administrative Support Specialist

Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As an essential member of our staff, you will be responsible for providing administrative support to ensure the smooth operation of our daily activities.



Responsibilities

  • Scheduling and Confirmation: Schedule and confirm appointments with clients, as well as coordinate meetings and events.
  • Filing and Records Management: Maintain accurate and up-to-date filing systems, both physical and digital.
  • Minute Taking and Reporting: Record and prepare minutes of court sessions, meetings, or conferences, ensuring all necessary information is captured.
  • Office Procedures and Routines: Establish and implement efficient office procedures and routines to enhance productivity.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as required.
  • Document Review and Proofreading: Review and proofread documents and correspondence to guarantee compliance with legal procedures and grammatical standards.
  • Basic Bookkeeping Tasks: Perform basic bookkeeping duties, including data entry and record-keeping.


Requirements

  • Education: A college diploma or non-university certificate/diploma from a 1-year to 2-year program.
  • Experience: Minimum 7 months to less than 1 year of experience in an administrative role.
  • Computer Skills: Proficiency in Microsoft Office applications, including MS Word, Excel, Access, Outlook, and PowerPoint, as well as PCLaw in the Cloud.
  • Language: English language proficiency (spoken and written).
  • Supervision: Ability to work under the supervision of senior staff members.
  • Work Environment: Fast-paced environment with tight deadlines, requiring attention to detail and strong organizational skills.
  • Security Clearance: Basic security clearance required.

  • Salary: $45,000 - $55,000 per annum, depending on experience.
