About the Role:
We are seeking a highly organized and detail-oriented Commercial Property Management Assistant to join our team at BentallGreenOak. As a key member of our property management team, you will provide administrative support to our Property Managers, ensuring the smooth operation of our commercial properties.
Key Responsibilities:
- Provide administrative support to Property Managers, including data entry, budgeting, and financial analysis.
- Assist with the preparation of annual budgets, including data input and compilation of final packages.
- Prepare monthly and quarterly owner reports, including analysis of financial statements and variance reports.
- Manage property budgets, review invoices, and ensure timely payments.
- Monitor lease-related payments, including progress billing on work orders and tenant allowances.
- Tender and administer service contracts as directed.
- Assist with insurance and appraisal tours as directed.
- Conduct regular building and vacant space inspections.
- Liaise with tenants, including issues related to parking, slip and falls, and MPI claims.
- Oversee daily correspondence and escalation and recovery letters.
- Oversee bi-annual tenant surveys, ensuring timely distribution and maximum participation.
- Maintain and update tenant contact information for timely collection and recording of tenant insurance certificates.
- Assist with tenant events and appreciation initiatives as directed.
- Complete quarterly tenant newsletters.
- Support Sustainability initiatives, including ForeverGreen, BOMA BEST, and Earth Award submissions.
- Embody BentallGreenOak's culture of environmental sustainability and corporate social responsibility.
Requirements:
- 3+ years of related experience.
- General accounting knowledge.
- Post-secondary business-related education preferred.
- RPA, FMA designation or post-secondary or undergraduate courses in property management are an asset.
- Relationship Skills – Ability to communicate effectively and professionally, both oral and written, with owners, tenants, and team members.
- Organizational/Multi-Task Skills – Ability to allocate one's time effectively and manage tight deadlines.
- Decision Making Skills – Able to resolve problems using facts and sound reasoning.
- Computer Skills – Intermediate to advanced skills in MS Word, Excel, Microsoft Office, and Outlook.
- Police Clearance – A criminal verification check is required for employment.
