Role Overview

We are seeking a highly organized and detail-oriented Client Services Coordinator to join our team. As a key point of contact, you will provide exceptional customer service, manage administrative tasks, and support consultants and management effectively.

Responsibilities

  • Phone and Email Management: Receive and transfer calls, respond to emails, and direct examines as needed.
  • Scheduling and Coordination: Book, confirm, and maintain service schedules using our administrative database.
  • Document Management: Create assessment files, receive and file case documentation, and send consultant medical files as required.
  • Examine Support: Receive and direct examines, assist with form completion when necessary, and distribute incoming mail and post outgoing mail daily.
  • Courier Coordination: Arrange courier deliveries and pickups.
  • Administrative Support: Provide word processing, reporting, and clerical support to consultants, management, and other staff.
  • Client Relationship Development: Foster client relationships, work with national accounts, and facilitate appointments.
  • Triage and Coordination: Ensure appropriate services are provided, and maintain accurate records of postage meter, fax machine, and copier usage.

Requirements

  • Education and Training: Medical Office or Legal Assistant training is an asset, and a clinical background (registered health professional) is preferred.
  • Customer Service: Strong customer service orientation and attention to detail.
  • Technical Skills: Proficiency in MS Office, Outlook, Internet, and Adobe Acrobat.
  • Communication: Excellent verbal and written communication skills in English.
  • Organizational Skills: Proven organizational and multi-tasking abilities.
