Administrative Professional for Not-for-Profit Organization

We are seeking an experienced Administrative Professional to join our team at Employment Network Canada Inc. as Office Manager. This is a full-time position working Monday to Friday, 9:00 am to 4:00 pm, with an estimated start date of January 2025.
Job SummaryThe successful candidate will provide administrative support to the Executive Director, committees, members, and employee team. Key responsibilities include office administration, executive support, financial and accounting tasks, communications, and file management.
Key Responsibilities- Provide executive/administrative support to the Executive Director, committees, members, and employee team.
- Serve as the first point of contact for the office, overseeing and promoting efficient office operations, managing technology needs, and anticipating the needs of the office.
- Support registration, licensing, and management processes, respond to member enquiries, and provide information on the registration and licensing process for Members within Saskatchewan.
- Provide general accounting support in collaboration with the Bookkeeper, processing A/R, A/P transactions, and preparing financial data for the accounting system.
- Enter financial data into the accounting system and database management system, deposit cheques, and assist in preparing the annual financial review/edit.
- Coordinate design and communications needs, including preparing PowerPoint presentations, website updates, newsletters, and publications.
- Administer the organization's website according to policies and procedures, plan and execute layout, styles, or content changes using software tools, assess and manage online feedback and issues.
- Maintain the filing system, administer retention and destruction requirements for internal files, manage confidential and sensitive information, and provide oversight of the database management system.
- Certificate/Diploma in Administration is an asset, along with formal training/education in digital communications, graphic design, or a related discipline.
- Experience in bookkeeping, payroll, or finance and related accounting software (e.g., QuickBooks) and understanding of financial principles.
- 4-5+ years of administrative or executive assistant experience, preferably supporting a not-for-profit organization and Board of Directors.
- 1-3 years of experience in web content management and online communications/marketing is preferred.
- Skilled in Word, Excel, and PowerPoint, with demonstrated experience in accounting software programs (e.g., QuickBooks).
- Knowledge of WordPress website management system is an asset.
- Excellent communication, interpersonal, and organizational skills, motivated, positive attitude, and adaptable.
