Mobilinx is seeking a highly skilled Document Control Coordinator

We are looking for an experienced professional to join our team in this key role.

Job Summary:

This position is responsible for ensuring the smooth operation of document control procedures, maintaining accurate and up-to-date records, and providing exceptional support to project teams.

The successful candidate will have excellent organizational skills, strong attention to detail, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:
  • Manage and maintain all documentation related to projects, including RFIs, DCNs, NCRs, submittals, and drawings;
  • Assist with verification, registration, filing, and control of incoming and outgoing documentation;
  • Interface with project teams to ensure proper documentation control;
  • Assist in audit verification of documentation to ensure project files are current and accurately labelled;
  • Print, duplicate, bind, and distribute documentation as required;
  • Transmit, receive, record, and distribute email correspondence and documentation according to established procedures;
  • Maintain records of incoming document transmittals and prepare outgoing transmittals and packages;
  • Assist in creating, communicating, implementing, and maintaining document control reporting;
  • Perform project database input and word-processing functions;
  • Assist in developing training plans and processes for documentation;
  • Assist in maintaining a project RASCI (distribution) matrix;
  • Assist with system requests and permissioning;
  • Provide support to all project participants, including external parties, with document control practices for project documentation;
  • Assist in training project users on procedures and electronic document management systems;
  • Perform other clerical duties as assigned.
Requirements:
  • A minimum of 3-5 years of experience in document control, working with designers, engineers, construction contractors, subcontractors, third parties, and site documentation;
  • Proficiency in all Microsoft Office Suite software, including Word, Excel, PowerPoint, and Outlook;
  • Experience with PDF software, such as Adobe and Bluebeam;
  • Experience working with electronic document management systems;
  • Ability to work with multiple file types;
  • Complete understanding of construction documents;
  • Excellent interpersonal communication skills.
Salary Range:

$60,000 - $80,000 per annum, depending on experience and qualifications.
