Job Title: Administrative Assistant

Them Days Incorporated is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide administrative support to our staff and management team, ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide administrative support to staff and management team, including answering telephone calls, responding to emails, and preparing reports.
  • Oversee the preparation of reports, including data entry and document preparation.
  • Order office supplies and maintain inventory, ensuring that our office is well-stocked and organized.
  • Assist with payroll administration, including data entry and record-keeping.
  • Provide excellent customer service, greeting visitors and directing them to the appropriate contact or service area.
  • Set up and maintain manual and computerized information filing systems, ensuring that our records are accurate and up-to-date.
  • Type and proofread correspondence, forms, and other documents, ensuring that they are error-free and professional.
  • Conduct research and perform data entry, as required.
  • Perform basic bookkeeping tasks, including reconciliations and financial reporting.
  • Assist users in accessing archival materials, including scanning and digitizing documents.
  • Prepare agendas and make arrangements for committee, board, and other meetings, ensuring that all necessary materials are available.
  • Prepare invoices, reports, memos, letters, financial statements, and administer contracts and other documents, as required.
Requirements:
  • 1-2 years of experience in an administrative role, preferably in a non-profit or arts organization.
  • Excellent communication and interpersonal skills, with the ability to work effectively with staff, management, and external stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office, including Excel, Word, and Access, as well as database software and social media platforms.
  • Ability to work independently and as part of a team, with a strong attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with staff, management, and external stakeholders.
