About the Position

The University of British Columbia is seeking a highly skilled and detail-oriented individual to fill the role of Electrical Engineering Program Coordinator in our Department of Electrical and Computer Engineering. This is a full-time position that reports directly to the Manager, Student Services and Engagement.

Job Summary

We are looking for an organized and proactive coordinator who can provide exceptional student support services, manage program operations, and collaborate with faculty, staff, and students to ensure a seamless academic experience. The successful candidate will have excellent communication and problem-solving skills, a strong commitment to delivering high-quality service, and the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Student Support Services
    • Act as the primary point of contact for undergraduate electrical engineering students, providing guidance on academic and non-academic matters.
    • Hold regular drop-in advising sessions and respond to email inquiries from students, faculty, and staff.
    • Use sound judgment to resolve complex issues and refer students to relevant resources when necessary.
  • Program Operations
    • Process course registration requests, manage waitlists, and perform other duties related to course management.
    • Work closely with faculty to ensure accurate grading and timely upload of final course grades.
    • Support the coordination of exams, room bookings, and timetabling.
  • Curriculum Support
    • Assist the ECE curriculum committee with compiling materials, collecting department feedback, and informing program support staff about curriculum changes.
    • Attend curriculum committee meetings and take minutes for distribution.
  • General Administration
    • Provide cross-coverage for graduate program support duties during team members' absences.
    • Maintain accuracy and attention to detail in performing various administrative tasks.
    • Contribute to the development of student-oriented administrative processes and procedures.
Requirements
  • A degree in a related field, or equivalent combination of education and experience.
  • A minimum of one year of experience in a student services role or a related field.
  • Excellent communication and problem-solving skills.
  • Ability to work independently and collaboratively as part of a team.
  • Strong commitment to delivering high-quality service and exceeding customer expectations.
  • Knowledge of university policies, procedures, and systems.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with Workday and other student services applications is an asset.
