Job Summary

We are seeking an experienced and detail-oriented Medical Office Coordinator to join our team. This role plays a critical part in ensuring seamless communication with patients, enhancing their satisfaction, and maintaining operational efficiency.

Responsibilities

  • Customer Engagement & Retention: Manage patient communications, including scheduling follow-ups and reactivating patients who have dropped off. Assist with booking new leads, ensuring they are pre-qualified and informed about available treatments. Proactively handle feedback and resolve patient concerns promptly and professionally. Promote and track referral programs and encourage 5-star reviews to elevate our clinic's reputation.
  • Front Desk & Office Support: Greet and assist patients in person, by phone, and via email in a warm and professional manner. Maintain accurate patient records in our EMR system, ensuring data privacy and completeness. Coordinate patient schedules to maximize efficiency for practitioners while reducing appointment gaps.
  • Collaboration & Analysis: Partner with the marketing team to understand new promotions and train front-desk staff on implementing them effectively. Analyze patient feedback and behavior to recommend improvements to processes or services.

Requirements

  • Experience: Prior experience in medical office administration or a customer-facing healthcare role is preferred. Background in physiotherapy or similar clinics is a strong asset.
  • Skills: Exceptional interpersonal and communication skills, with a customer-first mindset. Proficiency in EMR software, Microsoft Office (Excel, Outlook), and other relevant platforms. Strong organizational and problem-solving skills, with the ability to multitask in a fast-paced environment.

Job Details

Full-time position with 8-hour shifts (Monday-Friday). Located in Surrey, BC, with occasional flexibility for hybrid work arrangements. Salary: $40,000 - $52,000 per annum, based on experience.
