Executive Personal Assistant in Montreal

Job Summary:
We are seeking a highly skilled and experienced Executive Personal Assistant to provide exceptional support to our senior executive and family. The successful candidate will be responsible for managing calendars, making travel arrangements, preparing expense reports, and performing various administrative tasks. Key Responsibilities:
- Act as the first point of contact for the senior executive and family, fielding and screening calls and correspondence.
- Manage schedules, organize meetings and appointments, and control access to the senior executive.
- Book and arrange travel, transport, and accommodation in collaboration with a travel agent.
- Be available as a point person when the senior executive and family are traveling.
- Assist in organizing fundraising events, private parties, and executive retreats.
- Follow up and remind the senior executive of important tasks, appointments, and deadlines.
- Manage databases and filing systems.
- Liaise with corporate staff and estate managers.
- Maintain and submit expense reports to accounting.
- Submit medical claims for the senior executive and family.
- Organize children's activities calendars, doctor's appointments, and other personal matters.
- Place online shopping orders and returns for the senior executive and family.
- Maintain all personal information for the senior executive and family, ensuring it is up to date.
- Manage petty cash.
- Distribute hockey, football, and tennis season tickets, as well as miscellaneous ticket requests.
- Support and act as a backup to other Executive Personal Assistants.
- At least 5 years of experience as an Executive Personal Assistant.
- Ability to treat confidential information with discretion.
- Excellent organizational and time management skills, with the ability to multitask.
- Ability to be proactive and take initiative.
- Possess tact and diplomacy.
- Excellent communication skills in both French and English.
- Knowledge of Microsoft Office, Outlook, Word, Excel, and PowerPoint is an asset.
- Possibility of a flexible working model (Hybrid).
