At WAVES DISTRIBUTORS, we are seeking an Office Coordination Specialist to join our team. The ideal candidate will possess strong organizational and communication skills, with the ability to prioritize and manage multiple tasks and projects simultaneously.

Key Responsibilities
  • Task Coordination: Arrange and coordinate seminars, conferences, and other events, ensuring seamless execution and timely completion.
  • Team Support: Coordinate the flow of information within the team, promoting effective communication and collaboration.
  • Budget Management: Plan and control budget and expenditures, ensuring accurate record-keeping and financial transparency.
  • Meeting Support: Record and prepare minutes of meetings, seminars, and conferences, providing comprehensive documentation.
  • Appointment Scheduling: Schedule and confirm appointments, ensuring timely and efficient use of staff time.
  • Communication: Answer telephone and relay telephone calls and messages, responding to inquiries and resolving issues promptly.
Support for Diverse Groups
  • Persons with Disabilities: Participate in initiatives supporting persons with disabilities, providing mentorship and coaching opportunities.
  • Newcomers and Refugees: Assist with settlement needs, facilitating access to community resources and language training.
  • Youth Employment: Participate in programs supporting youth employment, offering on-the-job training and mentorship.
  • Indigenous People: Develop relationships with indigenous communities, providing cultural competency training and facilitating access to Elders.
  • Visible Minorities: Apply inclusive hiring policies, offering mentorship programs and diversity training.
