About the Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our community programs at Westland Immigration Visa. This is a permanent, English-speaking position requiring 1-2 years of experience, with 40 hours of work per week, in a college-educated role.

Key Responsibilities
  • Arrange and coordinate seminars, conferences, and other events related to community programs.
  • Determine and establish office procedures and routines to ensure seamless program execution.
  • Schedule and confirm appointments with stakeholders and program participants.
  • Answer telephone calls and messages in a professional manner.
  • Respond to electronic enquiries from the public and stakeholders.
  • Compile data, statistics, and information to track program progress and outcomes.
  • Order office supplies and maintain inventory to support program operations.
  • Direct people to contacts or service areas within the organization.
  • Set up and maintain manual and computerized filing systems to ensure accurate record-keeping.
  • Type and proofread correspondence, forms, and documents with high accuracy.

Initiatives and Support
  • Participate in government or community programs supporting persons with disabilities, including mentorship opportunities and awareness training.
  • Assist with settlement needs of newcomers and refugees, such as housing and language training.
  • Support social and labour market integration of newcomers and refugees.
  • Recruit displaced individuals, such as those from Ukraine or Afghanistan.
  • Support foreign credential recognition and offer mentorship programs and diversity training.
  • Offer on-the-job training and mentorship opportunities to youth.
  • Develop relationships with Indigenous communities and organizations and provide cultural competency training and awareness training.
  • Facilitate access to Elders for support and guidance and offer mentorship, coaching, and networking opportunities to Indigenous individuals.
  • Apply hiring policies discouraging discrimination and offer mentorship programs and diversity training to visible minorities.
