At Phoenix Society, we are seeking a highly skilled Medical Office Assistant to join our team. This is an exciting opportunity to provide exceptional support to clients, physicians, nurses, and other health professionals.


Job Summary:


The successful candidate will be responsible for performing administrative duties, maintaining communication with clients and staff, and providing intake services. Key responsibilities include greeting clients, answering phones, booking appointments, arranging meetings, completing lab requisitions, and assisting in the general organization of the clinic.


Responsibilities:


Administration:



  • Provide administrative support to medical staff and clients, including receiving and communicating messages, preparing reports, invoices, financial statements, letters, case histories, and medical records.
  • Assist clients in completing health intake and history forms.
  • Maintain accurate and up-to-date records management systems, including classifying and coding electronic and paper files.
  • Operate standard office equipment, including voicemail messaging systems, photocopiers, fax machines, and document scanners.
  • Order supplies and maintain inventory.

Client Services:



  • Create a welcoming, safe, and positive environment for clients and staff.
  • Monitor and manage the general tidiness of the waiting room.
  • Provide intake services to clients by determining their needs or directing them to the appropriate staff.
  • Attend to client behaviors in the waiting room by listening, supporting, validating, and employing de-escalation techniques as needed.

Qualifications:



  • Completion of a Medical Office Assistant certificate program.
  • 1-3 years of experience providing first point of contact service to a diverse set of clients who may be experiencing mental health, addictions, poverty, and trauma concerns.
  • Satisfactory completion of a criminal records check with vulnerable sector screening.
  • Satisfactory completion of Tuberculosis Screening form.
  • Satisfactory completion of Employee Immunization Record form.
  • First aid certification with CPR.

Salary: $24.76 - $26.38 per hour, depending on experience.
