Job Summary: We are seeking a highly organized and detail-oriented Office Support Specialist to join our team at KING 7 DISTRIBUTOR. The successful candidate will be responsible for providing administrative support to our office operations, ensuring the smooth day-to-day functioning of our business.

Key Responsibilities:

  • Determine and establish office procedures and routines to maintain efficiency and productivity.
  • Schedule and confirm appointments, ensuring timely and effective communication with clients and stakeholders.
  • Answer telephone calls and relay messages, providing exceptional customer service and support.
  • Oversee the analysis of employee data and information, ensuring accurate and up-to-date records.
  • Compile data, statistics, and other information to support business decisions and operations.
  • Order office supplies and maintain inventory, ensuring a well-stocked and organized workspace.
  • Arrange travel, related itineraries, and make reservations, ensuring seamless business travel.
  • Set up and maintain manual and computerized information filing systems, ensuring easy access to critical information.
  • Type and proofread correspondence, forms, and other documents, ensuring accuracy and professionalism.
  • Perform data entry, ensuring timely and accurate updates to our systems.
  • Provide exceptional customer service, responding to inquiries and resolving issues in a timely and professional manner.
  • Maintain and manage digital databases, ensuring accurate and up-to-date information.
  • Perform basic bookkeeping tasks, ensuring accurate financial records and reporting.
  • Plan, organize, direct, control, and evaluate daily operations, ensuring efficient and effective business processes.

    Requirements:

    • Secondary (high) school graduation certificate.
    • 7 months to less than 1 year of experience in an administrative role.
    • Proficiency in MS Excel, MS PowerPoint, MS Word, Adobe Photoshop, MS Office, and Google Drive.
    • Excellent communication and customer service skills.
    • Ability to work in a fast-paced environment and prioritize tasks effectively.

    Working Conditions:

    • 40 hours per week.
    • Permanent work term.
    • Work language: English.
