Role Overview

We are seeking an experienced Administrative Support Specialist to provide high-level administrative support to the Senior Vice President, Finance & Chief Financial Officer and the Finance leadership team. The ideal candidate will possess strong organizational, analytical, and problem-solving skills with a keen attention to detail.

About the Role

This 24-month fixed-term position offers all benefits available to permanent employees. The successful candidate will be responsible for providing day-to-day administrative support, including inbox organization, calendar management, meeting material preparation, and travel arrangements. Additionally, they will oversee the coordination of team meetings and events, as well as provide support to Corporate/Finance projects and department working groups.

Key Responsibilities
  • Provide administrative support to the SVP, Finance & CFO and Finance leadership team, including email management, calendar coordination, and meeting preparation.
  • Coordinate deliverables on behalf of the SVP, Finance & CFO for Board and Board-related committees, ensuring timely submission of annual requirements and review of draft agendas and minutes.
  • Supervise the Administrative Assistant and contracted Project Administrator, providing guidance and support as needed.
  • Coordinate the onboarding and offboarding process for contractors and agency workers, preparing documents for approval and tracking open contracts.
  • Organize floor plans and space planning for the department, ensuring efficient use of resources.
Requirements
  • Post-secondary education in Business Administration or equivalent area of study.
  • Three to five years progressively responsible administrative support experience in a corporate environment, with direct executive support experience preferred.
  • Strong organizational, analytical, and problem-solving skills with high attention to detail.
  • Ability to multi-task, react to changing priorities, and meet deadlines.
  • A professional and discrete manner while applying good judgment under pressurized situations.
