Administrative Support Specialist

We are seeking an experienced Administrative Support Specialist to join our team at Motion Fitness. As an Administrative Support Specialist, you will be responsible for providing administrative support to our team, including arranging and coordinating seminars, conferences, and other events. You will also be responsible for supervising other workers, training them, and recording and preparing minutes of meetings, seminars, and conferences.

- Supervise other workers and train them
- Record and prepare minutes of meetings, seminars, and conferences
- Schedule and confirm appointments
- Answer telephone calls and relay messages
- Answer electronic enquiries
- Compile data, statistics, and other information
- Oversee the preparation of reports
- Order office supplies and maintain inventory
- Negotiate collective agreements on behalf of employers or workers
- Oversee payroll administration
- Arrange travel, related itineraries, and make reservations
- Greet people and direct them to contacts or service areas
- Set up and maintain manual and computerized information filing systems
- Type and proofread correspondence, forms, and other documents
- Perform data entry
- Provide customer service
- Work with the marketing department to understand and communicate marketing messages to the field
- Maintain and manage digital databases
- Perform basic bookkeeping tasks
- Supervise office and volunteer staff
- Assign, coordinate, and review projects and programs
- Plan, organize, direct, control, and evaluate daily operations
- 3-4 years of experience in an administrative role
- Excellent communication and organizational skills
- Ability to work independently and as part of a team
- Ability to multitask and prioritize tasks
- Excellent time management skills
- Ability to work in a fast-paced environment
- Ability to work under pressure and meet deadlines
- Ability to maintain confidentiality and handle sensitive information
- Experience working in a similar role at Motion Fitness
- Knowledge of Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, and MS Word
- Ability to learn and adapt to new software and systems
