Bayshore HealthCare seeks an organized and detail-oriented Administrative Clerk to support our clinical team.

About the Role

We are looking for a highly skilled Administrative Clerk to join our team at Bayshore HealthCare. As an Administrative Clerk, you will be responsible for providing administrative support to our clinical team, including greeting visitors, managing patient records, transcribing physician orders, and performing various administrative tasks.

This is a full-time opportunity with a competitive salary of $45,000 per year, commensurate with experience.

Key Responsibilities
  • Assemble, break down, and manage patient charts and records.
  • Transcribe all doctors and nurses orders, entering them into the system and dating, stamping, and signing them when completed.
  • Seek clarification of all illegible and illegal orders, processing all "stat" and "now" orders before any others.
  • Welcome and greet all visitors to the unit, while maintaining a log detailing visitor access.
  • Answer telephone calls and transfer them to patients, nurses, and doctors.
  • Document all patient notes as directed by the ordering physician and nurse.
  • Arrange for patient and chart transport.
  • Prioritize workload and responsibilities.
  • Place all lab and test results in the proper patient medical records.
  • Regularly test all equipment to ensure proper operation and inform staff when equipment malfunctions and request repairs.
  • Order and maintain necessary equipment for procedures.
  • Coordinate with nurses to ensure proper bed placement of patients.
  • Manage the transfer of patients, completing and coordinating all appropriate paperwork to ensure it follows patients to their next bed assignment or to the medical records department.
  • Check inventory and order products as needed to maintain unit supplies and inventory.
  • Maintain knowledge of codes and emergency procedures, keeping the crash cart properly stocked and notifying all staff of patient and unit-related emergencies.
  • Maintain patient confidentiality while protecting private information in compliance with HIPAA.
  • Regularly participate in training and education activities to improve knowledge and skills.
  • Knowledge of infection prevention and control practices.
  • Adhere to Bayshore Policies and Procedures.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participate in proactive Health & Safety activities while performing all duties, reporting any Health & Safety risks or concerns to the immediate Supervisor.
  • Responsible for completing Accident Reports for direct reports who injure themselves on the job within 24 hours of the incident.
  • Maintain confidentiality of client and corporate information, discussing same only with appropriate Bayshore personnel.
Requirements

To be successful in this role, you will need:

  • A Medical Office Administration Certificate/Diploma or equivalent program.
  • Office administration experience in a similar environment or equivalent.
  • A minimum of OSSD with training in business, office procedures, or related experience.
  • A minimum typing speed of 50wpm.
  • Demonstrated initiative and organizational skills.
  • Strong communication and interpersonal skills.
  • The ability to interact with the interdisciplinary team in a collaborative manner.
  • The ability to interact in a professional and caring manner with diverse client populations.
  • Proficiency in computer software applications relevant to clerical needs, including Microsoft Outlook, Word, Excel, PowerPoint, Procura, and Internet Explorer.
  • The ability to operate photocopiers, fax machines, and Cisco/Jabber phone systems.
  • The ability to prioritize and meet changing deadlines.
  • English level A- is mandatory in oral expression/comprehension, reading comprehension, and written expression. Bilingual (French/English) is considered an asset.
