Administrative Support Specialist for Clinical Operations

We are seeking a highly skilled Administrative Support Specialist to join our team at Eagle Ridge Hospital in Port Moody, BC. This is a full-time opportunity that offers a competitive salary and a comprehensive benefits package.
Salary: $24.76 - $32.50 / hour
Job Summary: We are looking for a detail-oriented and organized individual to provide administrative support to our Director. The successful candidate will be responsible for drafting correspondence, generating reports, and managing appointment calendars. They will also provide excellent customer service and support to internal and external stakeholders.
About the Role:
- Provide administrative and secretarial support to the Director, including drafting correspondence and transcribing and typing reports, presentations, and memoranda.
- Research, organize, and summarize support materials, generating reports and presentations as required.
- Respond to internal and external inquiries, serving as the primary point of contact and providing information directly or referring to appropriate areas or individuals.
- Manage appointment calendars, scheduling meetings, speaking engagements, and/or conferences, resolving scheduling conflicts and issues.
- Coordinate the workflow within the assigned area, receiving, reviewing, and processing information, and taking follow-up action as required.
- Develop and implement new work methods and procedures, identifying problems, developing alternate solutions, and implementing changes.
- Assist in monitoring expenditures for budget reports, gathering, compiling, and calculating information.
- Arrange meetings, booking meeting rooms, preparing meeting agendas, organizing meeting materials, recording, and preparing minutes of meetings, and conducting or ensuring follow-up on action items from meetings.
- Perform record management duties, including setting up and maintaining numeric, alphabetical, and subject filing systems, indexing files, and conducting file searches for requested information.
Qualifications:
- Grade 12 plus graduation from a recognized administrative or secretarial program, plus three (3) years' recent related experience in a large complex business environment or health care environment, or an equivalent combination of education, training, and experience.
- Demonstrates the leadership practices of the Fraser Health Leadership Framework of Clear, Caring, and Courageous, and creates the conditions for people to succeed.
- Ability to type 55 w.p.m.
- Ability to operate a computer using a variety of desktop technology and other standard office equipment, with proficiency with all Microsoft Office applications at an intermediate level.
- Ability to work independently and manage multiple and rapidly changing priorities.
- Ability to deal effectively with others.
