Operations Manager for Family Law Firm

Our clients come to us feeling isolated, overwhelmed, powerless, and stuck in conflict. We provide expert support so they can turn their painful separation into a fresh start with dignity and ease.
We are seeking an organized and friendly Operations Manager to join our team in Ottawa. This role requires strong communication skills, attention to detail, and the ability to work independently and handle multiple tasks efficiently in a busy environment.
The ideal candidate will have experience in a similar role, preferably in a law firm or legal environment, and be comfortable working with technology and maintaining confidentiality. They must also be able to empathize with clients and maintain a professional demeanor at all times.
Key Responsibilities- Answer and direct phone calls promptly and courteously
- Conduct initial client intake phone calls to gather essential information about their legal needs
- Assess, screen, and prioritize potential cases, directing them to the appropriate lawyer
- Manage the client intake process including sending retainer agreements and deposit requests
- Accurately enter and maintain client information in the intake management system (CRM)
As the Operations Manager, you will play a key role in streamlining processes and increasing efficiency within the office. You will work closely with lawyers and staff to ensure a seamless intake process and identify areas for improvement.
Requirements- Proven experience in a similar role
- Intermediate to advanced skills in Microsoft 365
- Experience with Clio practice management software is an asset
- Ability to maintain confidentiality and handle sensitive information
- Excellent verbal and written communication skills
The salary range for this position is $50,000 to $75,000 per year, with performance-related bonuses possible. The hybrid work environment offers flexibility and a balance between work and personal life.
