Job Title: Program Assistant - Mental Health Specialist

In this role as a Program Assistant with Vancouver Coastal Health, you will provide administrative support to the Mental Health and Substance Use team at Vancouver General Hospital. Your primary responsibilities will include:




  • Providing administrative, secretarial, and clerical support.
  • Transcribing and typing medical dictation and other documentation using various software applications.
  • Acting as a receptionist by answering phones, determining the urgency of calls, and referring to staff.
  • Greeting clients, providing resource information, and responding to inquiries.
  • Preparing and maintaining statistical records for workload monitoring and program planning.
  • Receiving referrals, scheduling, and confirming client appointments, receiving clients, and providing information.
  • Typing material such as correspondence, psychiatric and physician assessments, discharge reports, memos, minutes, and promotional materials.
  • Editing transcribed material for stylistic consistency and accuracy, identifying medical and verbal inconsistencies in dictation, making corrections, and resolving problems.


Requirements for this position include:




  • Grade 12 graduation from an approved program in Medical Transcription and/or Medical Office Administration Certificate.
  • One year recent, related experience, or an equivalent combination of education, training, and experience.
  • Ability to communicate effectively, both verbally and in writing.
  • Knowledge of community, social, and mental health resources.
  • Knowledge and experience in providing culturally competent support services specifically pertaining to Aboriginal people.
  • Knowledge and experience in Trauma-Informed Practice, Harm Reduction, and Recovery-Oriented care.
  • Ability to work independently and in cooperation with others.
  • Ability to organize and prioritize.
  • Ability to keyboard 5,000 keystrokes per hour.
  • Business writing skills.
  • Knowledge of general office procedures.
  • Ability to establish and maintain rapport with clients.
  • Knowledge of medical terminology.
  • Ability to operate related equipment.
  • Physical ability to carry out the duties of the position.
