Job Description

We are seeking an experienced Executive Secretary to join our team at Cambrian College's School of Health and Wellness. As a key member of our administrative staff, you will provide high-level support to the Dean and Chair, ensuring seamless operations and exceptional service to students, faculty, and external partners.

About the Role
  • Provide administrative support services to enhance departmental efficiency and level of service.
  • Act as liaison between the Dean, Chair, students, faculty, and external partners.
  • Complete general administrative duties, including scheduling, attending meetings, taking minutes, attendance reporting, payroll management, corporate card reconciliations, purchase orders, data/file management, travel arrangements, document preparation, and office coordination.
  • Monitor and record attendance for full and part-time employees, prepare bi-weekly payroll reports.
  • Coordinate the Dean's schedule, screen appointments, and make referrals as needed.
Qualifications

To be successful in this role, you must have:

  • A two-year post-secondary diploma or equivalent in Administrative Assistant, Office Administration, or Business Administration.
  • Five years of experience as an administrative assistant in an educational setting, preferably within a health care environment.
  • High accuracy, confidentiality, integrity, and tact.
  • Exceptional interpersonal, written, and verbal communication skills.
  • Excellent organizational, prioritization, and time management skills.
  • Proficiency in Microsoft Office, including Word, Outlook, PowerPoint, and Excel.
  • Ability to work as a team member and independently.
Salary and Benefits

The estimated salary for this role is $55,000 - $65,000 per year, depending on experience. Our benefits package includes comprehensive health and dental coverage, generous vacation time, and opportunities for professional development.
