Job Summary

Proper Care Services Inc is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide administrative support to our staff, ensuring the smooth operation of our office. Responsibilities
  • Provide administrative support to our staff, including answering phone calls, responding to emails, and preparing correspondence.
  • Arrange and coordinate seminars, conferences, and other events.
  • Coordinate the activities of the HR department to ensure they meet the organization's goals.
  • Direct and control daily operations, including supervising staff and managing office supplies.
  • Evaluate daily operations and make recommendations for improvement.
  • Motivate staff and promote a positive work environment.
  • Open and distribute mail and other materials.
  • Plan and organize daily operations, including scheduling appointments and managing calendars.
  • Review HR projects to ensure compliance with laws and regulations.
  • Supervise other workers and provide guidance and support as needed.
  • Train staff on new procedures and policies.
  • Establish and implement policies and procedures to ensure the smooth operation of the office.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines.
  • Oversee the classification and rating of occupations.
  • Plan, develop, and implement recruitment strategies.
  • Schedule and confirm appointments.
  • Manage contracts and agreements.
  • Manage training and development strategies.
  • Answer telephone calls and relay messages.
  • Oversee the analysis of employee data and information.
  • Answer electronic inquiries.
  • Oversee the development of communication strategies.
  • Oversee the preparation of reports.
  • Advise senior management on administrative matters.
  • Respond to employee questions and complaints.
  • Order office supplies and maintain inventory.
  • Liaise with management, union officials, and HR consultants.
  • Organize staff consultation and grievance procedures.
  • Arrange travel, related itineraries, and make reservations.
  • Greet people and direct them to contacts or service areas.
  • Set up and maintain manual and computerized information filing systems.
  • Type and proofread correspondence, forms, and other documents.
  • Perform data entry.
  • Provide customer service.
  • Recruit and hire workers and carry out related staffing actions.
  • Perform basic bookkeeping tasks.
  • Supervise office and volunteer staff.

Requirements

* 1 to 2 years of experience in an administrative role
* Strong organizational and communication skills
* Ability to work independently and as part of a team
* Proficiency in MS Office and other software applications
* Ability to multitask and prioritize tasks
