Administrative Support Specialist

Proper Care Services Inc is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide administrative support to our staff, ensuring the smooth operation of our office. Responsibilities
- Provide administrative support to our staff, including answering phone calls, responding to emails, and preparing correspondence.
- Arrange and coordinate seminars, conferences, and other events.
- Coordinate the activities of the HR department to ensure they meet the organization's goals.
- Direct and control daily operations, including supervising staff and managing office supplies.
- Evaluate daily operations and make recommendations for improvement.
- Motivate staff and promote a positive work environment.
- Open and distribute mail and other materials.
- Plan and organize daily operations, including scheduling appointments and managing calendars.
- Review HR projects to ensure compliance with laws and regulations.
- Supervise other workers and provide guidance and support as needed.
- Train staff on new procedures and policies.
- Establish and implement policies and procedures to ensure the smooth operation of the office.
- Record and prepare minutes of meetings, seminars, and conferences.
- Determine and establish office procedures and routines.
- Oversee the classification and rating of occupations.
- Plan, develop, and implement recruitment strategies.
- Schedule and confirm appointments.
- Manage contracts and agreements.
- Manage training and development strategies.
- Answer telephone calls and relay messages.
- Oversee the analysis of employee data and information.
- Answer electronic inquiries.
- Oversee the development of communication strategies.
- Oversee the preparation of reports.
- Advise senior management on administrative matters.
- Respond to employee questions and complaints.
- Order office supplies and maintain inventory.
- Liaise with management, union officials, and HR consultants.
- Organize staff consultation and grievance procedures.
- Arrange travel, related itineraries, and make reservations.
- Greet people and direct them to contacts or service areas.
- Set up and maintain manual and computerized information filing systems.
- Type and proofread correspondence, forms, and other documents.
- Perform data entry.
- Provide customer service.
- Recruit and hire workers and carry out related staffing actions.
- Perform basic bookkeeping tasks.
- Supervise office and volunteer staff.
Requirements
* 1 to 2 years of experience in an administrative role
* Strong organizational and communication skills
* Ability to work independently and as part of a team
* Proficiency in MS Office and other software applications
* Ability to multitask and prioritize tasks
