About the Role

The Receptionist/Scheduler reports to the General Manager and is responsible for providing exceptional customer service, adjusting schedules, and filling vacant shifts. This role plays a vital part in promoting a high standard of professionalism at the community.

Key Responsibilities:

  1. Develop and maintain professional relationships that support and strengthen the organizational culture and purpose.
  2. Respond to tenant emergency calls while on duty.
  3. Organize and maintain all functions of the reception desk.
  4. Greet and communicate with residents, visitors, staff, and volunteers in a courteous and professional manner.
  5. Answer and transfer telephone calls in a pleasant and helpful manner.
  6. Take messages when necessary.
  7. Book appointments and meeting rooms for various managers.
  8. Follow policies and procedures of the community.
  9. Support other departments in an administrative capacity when possible.
  10. Arrange shift coverage for short calls and longer term planned absences by following community procedures.
  11. Review and report unfilled shifts, casual call-in lists, and staff availability concerns as applicable.
  12. Assist Administrative Coordinators with clerical aspects of resident billing, comfort funds, invoicing, and payroll.
  13. Attend and participate in community and education programs.
  14. Perform other related duties as required.

Qualifications and Skills:

  1. A Grade 12 education or equivalent with recent experience, or an equivalent combination of education, training, or experience.
  2. Ability to plan, organize, and prioritize multiple critical timelines.
  3. Ability to work independently and in cooperation with others.
  4. Computer literacy with intermediate to advanced Excel and Word skills.
  5. Basic accounting and payroll experience is an asset.
  6. Ability to demonstrate tact, diplomacy, empathy, patience, and concern in providing quality services to residents with a focus on 'Customer Service'.
  7. Ability to read, write, and speak English proficiently and understand verbal and written instructions.
  8. All successful applicants must pass a vulnerable sector Criminal Record Check applicable to provincial guidelines.
  9. Must be in good health, physically able to perform repetitive tasks, lift, squat, bend, stand, and walk as required to perform the duties of the position.

We offer a competitive salary range of $45,000 - $60,000 per year, depending on experience and qualifications. We are an equal opportunity employer.
