Bannister Automotive Group, a leading automotive dealership group, is seeking an experienced Accounts Payable Administrative Coordinator to join our team.

Under the supervision of the Controller, the Accounts Payable Administrative Coordinator position plays a crucial role in establishing strong relationships with our customers and vendors. This is a role where professionalism, integrity, and attention to detail are paramount to our brand.

Key Responsibilities:

  • Reconcile supplier statements with current records and maintain effective communication with suppliers.
  • Follow up with suppliers regarding outstanding credits and resolve any discrepancies.
  • Process and reconcile manufacturer receivables in a timely and accurate manner.
  • Prepare daily bank deposits as needed and provide support in a relief capacity.
  • Accurately post journal entries and prepare and distribute payable cheques in a timely fashion.
  • Provide the Controller with information relating to month-end close and ensure accurate financial reporting.
  • Reconcile fuel, credit card statements, and monitor credit balances to ensure accuracy and compliance.
  • Comply with all written policies pertaining to confidentiality and use of company equipment.
  • Resolve account discrepancies and credit disputes in a professional and timely manner.
  • Participate in other tasks and projects as necessary to support the team.
  • Prepare and send bi-monthly/quarterly Co-op Claims for Used, Service, and Sales Advertising.
  • Assist in preparing fiscal year-end documents for auditors and interact with other managers regarding Invoice/credit queries.
  • Ensure filing is kept in order and completed as required.

Requirements:

  • High school diploma and 1-2 years of previous accounting experience.
  • Excellent communication and computer skills.
  • Dependability and ability to work effectively in a team environment.
  • Ability to spend long hours sitting and using office equipment and computers – mobility required.
  • Ability to concentrate for long periods of time while reviewing and entering information into a computer.
  • Frequently work on projects that require deadlines.
  • Occasionally lift 5-10 pounds.
  • Professional appearance with business casual dress code.
