Job Description:Responsibilities:
  • Coordinate the flow of information within the team, ensuring seamless communication and collaboration.
  • Open and distribute mail and other materials, maintaining a well-organized workspace.
  • Schedule and confirm appointments, ensuring timely and efficient meetings.
  • Answer telephone and relay telephone calls and messages, providing excellent customer service.
  • Answer electronic enquiries, responding promptly and professionally.
  • Compile data, statistics, and other information, analyzing and presenting findings effectively.
  • Oversee the preparation of reports, ensuring accuracy and attention to detail.
  • Greet people and direct them to contacts or service areas, providing a warm and welcoming experience.
  • Set up and maintain manual and computerized information filing systems, ensuring easy access and retrieval.
  • Type and proofread correspondence, forms, and other documents, guaranteeing professionalism and quality.
  • Conduct research, gathering and analyzing information to support business decisions.
  • Perform data entry, accurately and efficiently entering information into relevant systems.
  • Provide customer service, resolving issues and concerns in a prompt and courteous manner.
  • Maintain and manage digital databases, ensuring up-to-date and accurate information.
  • Perform basic bookkeeping tasks, tracking expenses and managing finances effectively.
  • Consult with clients after sale to provide ongoing support, building strong relationships and loyalty.
  • Label, file, and retrieve documents, maintaining a well-organized and efficient workflow.
  • Invoice clients, ensuring timely and accurate billing.
  • Arrange for billing for services, streamlining financial processes.
  • Process files and paperwork, ensuring compliance and adherence to regulatory requirements.
  • Prepare and key in correspondence and legal documents, guaranteeing accuracy and quality.
  • Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
