Job Description

This role involves providing administrative support to our team and department, ensuring the smooth day-to-day operations of our office. Key responsibilities include:

  • General Administrative Support: Provide administrative assistance to the team and department, including tasks such as filing, labeling, and assisting with general duties.
  • Reception Coverage: Cover reception duties during lunch breaks, appointments, vacations, and other absences, ensuring that clients and guests are greeted and assisted promptly.
  • Boardroom Management: Manage the booking and setup of boardrooms for meetings, conferences, and other events, including setting up equipment, arranging catering, and ensuring the rooms are clean and tidy.
  • Courier and Delivery Management: Receive and manage couriers and deliveries, coordinating with the reception team to ensure timely processing and distribution of packages.
  • Office Supplies and Maintenance: Order and maintain stock of office supplies, including paper, toner, and other essentials, ensuring that the office runs smoothly and efficiently.
  • Basic IT Support: Provide basic technical support, including printer maintenance, WiFi setup, and troubleshooting of common IT issues.
  • Errands and Tasks: Perform various errands, including depositing cheques, picking up food or office items, and completing other tasks as required.
  • Research and Sourcing: Conduct research and source new items for purchase, ensuring that the office has the necessary resources to operate effectively.

Desired Qualifications and Skills:

  • Previous Office Experience: Previous experience working in an office environment would be preferred.
  • Excellent Organizational Skills: Excellent organizational skills, with the ability to prioritize tasks, multitask, and work independently.
  • Strong Communication Skills: Excellent oral and written communication skills, with the ability to effectively communicate with colleagues, management, and external parties.
  • Technical Proficiency: Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint.
