We're a leading provider of heating and air conditioning services, and we're committed to delivering exceptional results to our customers. As a key member of our team, you'll play a vital role in supporting our business operations and ensuring the smooth delivery of our services.

As an Office Administrator, you'll be responsible for providing administrative support to our Business Team, including:

  • Managing all accounting activities related to accounts receivable and accounts payable.
  • Assisting with payroll processing and ensuring accurate payment of employee wages.
  • Receiving and ordering parts and stock, as well as processing warranty claims with suppliers.
  • Processing counter sales and payments, and ensuring timely collection of customer payments.
  • Producing statistical data for key managers, including sales and customer service metrics.
  • Answering phone calls and responding to customer inquiries in a professional and courteous manner.
  • Providing billing research and problem resolution support to customers and internal stakeholders.
  • Completing contract documents and other administrative tasks as required.
  • Engaging with customers and internal stakeholders to provide exceptional customer service and support.
  • Performing general administrative duties, including filing, document circulation, and mailings.
  • Dispatching and scheduling technicians as needed to ensure timely service delivery.
  • Supporting special projects and reports as required by management.

Requirements:

The ideal candidate will possess:

  • A Secondary School Diploma.
  • A minimum of 2 to 3 years of experience in an administrative function, preferably in support of a finance or accounting field.
  • Extensive proficiency in MS Office (Word, Excel).
  • Prior experience in the HVAC industry is an asset.
  • Excellent time management and organizational skills.
  • Superior verbal and written communication skills, with a focus on customer service.
  • Demonstrated sound decision-making skills and professionalism in handling sensitive information.
  • Ability to work independently, with analytical and problem-solving skills, and superior interpersonal and communication skills.
  • Strong organizational skills, with the ability to establish priorities and work with attention to detail in a fast-paced office environment.
