We are seeking a skilled Clerical Support Specialist to join our team at PHSA's BC Mental Health & Substance Use Services in Victoria, BC. This is a challenging and rewarding role that requires strong organizational and communication skills, as well as the ability to maintain confidentiality and discretion.

About the Role

This position provides clerical support services to a multi-disciplinary team, including transcribing medical dictation, providing reception services, operating a multi-line switchboard, and maintaining client charts and schedules. The successful candidate will have excellent keyboarding skills (60 wpm) and the ability to communicate effectively both verbally and in writing.

Responsibilities
  • Transcribe a variety of medical dictation, including correspondence and reports, according to pre-set format, protocols, and deadlines.
  • Provide reception services, including operating a multi-line switchboard, responding to inquiries, and redirecting callers to appropriate personnel.
  • Maintain client charts and schedules, including logging into and reviewing electronic calendars/schedules, monitoring upcoming deadlines and appointment dates, and providing reminders to applicable staff.
  • Perform a variety of other clerical duties, including typing a variety of non-technical material, arranging meetings, recording minutes of meeting, and distributing material as required.
Requirements
  • Grade 12 graduation from an approved program in medical transcription and one (1) year recent, related experience, or an equivalent combination of education, training, and experience.
  • Ability to keyboard at 60 wpm.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
