Job Summary: We are seeking an experienced Administrative Support Specialist to join our team at DEACRO INDUSTRIES. The successful candidate will be responsible for providing administrative support to our office operations, ensuring the smooth day-to-day functioning of our team.

Key Responsibilities:

  • Implement new administrative procedures to improve office efficiency
  • Review and evaluate existing procedures to ensure they are effective and up-to-date
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Carry out administrative activities of the establishment, including data entry and record-keeping
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
  • Co-ordinate and plan for office services, including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Perform data entry and maintain accurate records
  • Train staff on new procedures and policies
  • Oversee and co-ordinate office administrative procedures, ensuring they are followed and deadlines are met
  • Resolve conflict situations and provide excellent customer service
  • Commission systems and components to improve office efficiency
  • Monitor and evaluate the effectiveness of administrative procedures and make recommendations for improvement
  • Oversee payroll administration and ensure accurate and timely payment of employees
  • Plan and control budget and expenditures, ensuring they are aligned with company goals and objectives

Requirements:

  • 1 year to less than 2 years of experience in an administrative role
  • Excellent communication and organizational skills
  • Ability to work independently and as part of a team
  • Proficiency in MS Office, including Excel, Word and Outlook
  • MAC skills an asset
