We are seeking an experienced and highly skilled Aerospace Administrative Professional to join our Engineering Team in Vancouver.

The successful candidate will support the Engineering Manager in all administrative duties and associated activities for the Line Station, ensuring compliance with legislative and company requirements.

Key Responsibilities
  • Establish and maintain effective relationships with customer airlines to ensure seamless communication and coordination.
  • Provide administrative support for company material handling, storage, and customs clearance procedures.
  • Verify and ensure accurate entry of flight handling records.
  • Liaise with local Engineering offices and Hong Kong Line Maintenance to comply with company procedures as required.
  • Support maintenance of office stock and perform regular audits to ensure accuracy and efficiency.
  • Assist in local and Hong Kong Line Maintenance projects as requested.
  • Maintain working knowledge of relevant IT systems, including Microsoft 365.
  • Ensure operational familiarity with various communication methods, such as walkie-talkies, internet, facsimile, and SITA.
  • Assist with ordering supplies and processing refunds.
  • Accurately enter third-party customers' sales and cost figures.
  • Support duty travel arrangements for Engineering team employees, relief engineers, auditors, and other visitors as required.
  • Arrange internal and external events as needed.
  • Provide administrative support to Engineering team members and visitors as required.
Finance
  • Input salary data, including overtime and allowances, for Engineering team members and reconcile against attendance records.
  • Examine invoices from Ground Handling Agents and service providers to ensure claims match internal records for correct payment and adjust as required.
  • Process invoices and other financial transactions via SAP.
  • Prepare and submit invoices for third-party customers.
  • Monitor monthly expenditure to ensure it remains within budget.
  • Verify correctness of claims made through FIORI by engineers.
  • Manage petty cash and ensure usage records and supporting documents are accurately maintained.
Working Environment and Safety
  • Maintain personal safety at all times while on duty.
  • Control inventory of first aid kits and other hygiene control tools.
  • Report any unsafe work conditions or hazards.
  • Participate in fire drills or other safety training exercises.
Equipment, Tooling, and Facilities
  • Assist with administration of station ground equipment and vehicles.
  • Support station engineering office/store fire protection.
  • Ensure office maintenance and cleanliness of the Engineering facility.
  • Operate vehicles in restricted areas to transport documents/goods and personnel as required.
  • Assist in purchasing maintenance tools as requested.
E&A
  • Emergency and Accident/Crisis Response responsibilities as required.
Requirements
  • High school graduation or above.
  • Excellent English language skills (speaking, reading, writing).
  • Experience working in an airline/airport environment is an advantage.
  • Previous customer service, flight operation, or cargo handling experience.
  • Strong time management skills with ability to prioritize and adapt to changing tasks.
  • Attention to detail with ability to work unsupervised.
  • Able to deliver results and contribute to driving internal and external customer success.
  • Demonstrable understanding of aircraft maintenance administration requirements.
  • Possess valid Class 5 Canadian driver's license.
  • Must have the right to live and work in Canada.
Estimated Salary Range:

$60,000 - $80,000 per annum, depending on qualifications and experience.
