Job Summary

We are seeking an experienced Administrative Assistant to provide high-level administrative support to our Senior Leaders. The successful candidate will be responsible for coordinating meetings, managing schedules, and providing administrative assistance to ensure the smooth operation of our team.

Key Responsibilities
  • Coordinate meetings and events, including preparing agendas, arranging logistics, and ensuring timely follow-up.
  • Manage complex calendars, scheduling appointments, and ensuring timely reminders.
  • Provide administrative support, including preparing documents, reports, and presentations.
  • Develop and maintain filing systems, both physical and digital.
  • Coordinate travel arrangements, including booking flights, hotels, and rental cars.
  • Prepare and submit expense reports, invoices, and other financial documents.
  • Provide exceptional customer service, responding to inquiries, and resolving issues in a timely and professional manner.
Requirements
  • Post-secondary education in a related field, such as business administration or secretarial studies.
  • Minimum 4 years of experience in an administrative role, preferably in a senior leadership position.
  • Excellent communication and interpersonal skills, with the ability to work effectively with senior leaders, staff, and external stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
