We are seeking an exceptional Strategic Executive Support Specialist to join our team in Toronto. As a key member of our executive support team, you will provide high-level administrative assistance to our President & Chief Executive Officer (CEO).

This is a dynamic opportunity for a highly organized and skilled individual to work in a fast-paced environment, supporting the CEO and contributing to the success of our organization.

The ideal candidate will possess excellent communication and interpersonal skills, with the ability to maintain confidentiality and exercise good judgment in a variety of situations. You will also have a strong working knowledge of Microsoft Office applications and be able to multitask effectively, prioritizing tasks with minimal supervision.

In addition to your technical skills, you will be a proactive and resourceful team player, able to build relationships with staff, Board members, external partners, and donors. Your positive professional attitude, adaptability, and customer service orientation will make you an asset to our organization.

This role offers a competitive salary range of $65,000 - $85,000 per year, commensurate with experience, as well as opportunities for career advancement and professional growth.

About the Role:

  • Provide executive support to the CEO, including scheduling appointments, preparing correspondence, and coordinating travel arrangements.
  • Manage confidential matters with discretion and maintain accurate records and databases.
  • Liaise with internal and external stakeholders, including Board members, corporate leadership, and external partners.
  • Develop and implement effective meeting procedures and rules of order.
  • Supervise and support reception staff at two locations, providing guidance and coaching as needed.
  • Ensure compliance with applicable data privacy laws and maintain confidentiality of sensitive information.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field.
  • 5+ years of direct experience supporting senior managers and Boards in a not-for-profit community-based setting.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exercise good judgment.
  • Familiarity with applicable data privacy law.
  • Good working knowledge of meeting procedures and rules of order.
  • Expert knowledge in Microsoft Office applications: Word, Excel, PowerPoint, Outlook.
