Job Summary

We are seeking an experienced Administrative Assistant to provide complex administrative and secretarial support to our Senior Leaders. The successful candidate will be responsible for managing the day-to-day administrative operations, resolving day-to-day problems, and ensuring accurate and timely delivery of administrative services.

Key Responsibilities
  • Provide administrative support to Senior Leaders, including scheduling meetings, coordinating travel arrangements, and preparing correspondence.
  • Manage the flow of information, maintain confidentiality, and interact with senior leaders, managers, and administrative support staff.
  • Attend and record senior management meetings, arrange travel and accommodation, and coordinate meeting logistics.
  • Process confidential and sensitive documents, and draft and evaluate operating procedures.
  • Design, create, and maintain correspondence, documents, presentations, and spreadsheets.
  • Coordinate administrative meeting logistics, make catering, travel, and accommodation arrangements, and attend and act as a recorder for confidential meetings.
  • Respond to verbal and written communication, liaise internally and externally, and screen requests and inquiries.
  • Provide work direction and guidance to support staff, check the work of others, and ensure administrative needs are met.
  • Assist in budget development, monitor expenditures, and analyze and report variances.
  • Prepare and update various documents, including presentations, spreadsheets, correspondence, meeting minutes, and reports.
  • Initiate follow-up processes, resolve day-to-day problems, and evaluate operating procedures.
  • Design and maintain filing and distribution systems for records and files, including confidential information.
Requirements
  • Education: Equivalent to graduation from a recognized post-secondary administrative assistant/secretarial program.
  • Experience: Four (4) years' progressive experience supporting senior-level management.
  • Skills: Ability to communicate effectively, work independently, and make decisions to determine appropriate action to take in handling inquiries.
  • Knowledge: Familiarity with related equipment and computerized software packages, including word processing, spreadsheet, database applications, scheduling, email, and internet applications.
  • Ability: Type 60 words per minute.
