Position Overview

In this role, you will undertake a variety of legal support and administrative tasks for designated attorneys, primarily within a civil litigation and insurance defense context. A solid understanding of legal principles, terminology, and procedures is essential. You will also assist with general office operations and undertake additional responsibilities as assigned. This position does not involve personnel management.

Key Responsibilities

Prepare diverse legal documents including pleadings, discovery materials, mediation documents, and motions with accuracy and promptness. Draft correspondence and assess incoming communications to prioritize and collaborate with attorneys as necessary. Provide essential telephone support, including responding to routine inquiries from callers. Manage attorneys' schedules and maintain diary and tickler dates effectively. Review daily calendars and proactively address upcoming events, ensuring timely service and filing of pleadings. Input and uphold information in proprietary case management systems, ensuring data accuracy. Organize and index all case files for attorneys; file correspondence, pleadings, and other documents accurately and promptly. Coordinate Examinations for Discovery, medical evaluations, and other court-mandated hearings. Engage court reporters and interpreters as required. Serve as a liaison between insured parties, claims professionals, and the legal office, facilitating information exchange and assisting in report completion. Execute additional duties as assigned.

Ideal Candidate Qualifications

Associate's Degree or vocational training in legal assistance is preferred. A minimum of 6 years of experience as a Legal Assistant is preferred, or a proven track record of high performance. Previous corporate experience is preferred. Familiarity with insurance defense litigation is preferred. Exceptional written and verbal communication skills. Strong interpersonal abilities to interact with court personnel, attorneys, clients, witnesses, and external vendors. Proficient in MS Word, MS Outlook, Excel, and PowerPoint. Highly skilled in using case management systems and other software applications. Comprehensive knowledge of the Rules of Civil Procedure. Strong grasp of legal terminology, local court rules, and adherence to office protocols. Ability to assess urgency and prioritize tasks effectively. Capable of managing time and multitasking efficiently. Demonstrated problem-solving skills with innovative approaches to task completion. Maintain professionalism and composure under pressure while adapting to new challenges and shifting priorities. Ability to work independently as well as collaboratively within a team. Excellent organizational skills. Competence in operating business machines such as photocopiers and scanners.

Required Qualifications

High School Diploma or equivalent is mandatory.
