We are in search of a dedicated individual who can thrive in a dynamic and fast-paced environment to fill the role of Shop Administrator within our maintenance division.

Key Responsibilities:

  • Manage and address incoming calls related to both internal and external repair services.
  • Evaluate and approve expense reports submitted by mechanics.
  • Oversee all open service work orders in the system, ensuring all associated costs are accurately recorded.
  • Maintain real-time updates on all maintenance activities occurring in the shop.
  • Organize and keep track of receipts, records, and stockroom withdrawals.
  • Administer inventory for telematics both in the system and on-site.
  • Generate invoices for clients and process any deductions.
  • Monitor out-of-service truck and trailer reports and ensure timely follow-ups.
  • Inspect incoming and outgoing deliveries for accuracy, damage, or discrepancies, and report any issues to the supervisor.
  • Exhibit a positive and professional demeanor while effectively communicating with customers.
  • Manage and track inventory of truck and trailer parts, ordering supplies as needed.
  • Conduct immediate inspections as required.

Qualifications:

  • Proficient computer skills, particularly with Microsoft Office, especially Excel.
  • A minimum of 1+ years in a coordination role, ideally within the service and repair sector.
  • Understanding of standard practices and concepts in a stockroom or warehouse setting.
  • Exceptional communication skills in English, both written and verbal.
  • Knowledge of automotive or mechanical principles is advantageous.
  • Ability to handle multiple tasks and excel in a fast-paced, evolving work environment.
