Position Summary

In the role of Purchasing Officer, you will be integral to managing the acquisition of essential materials, components, and supplies. Your responsibilities will include maintaining comprehensive records of all purchases and ensuring prompt follow-up on deliveries. You will regularly communicate with suppliers and internal teams to provide updates on order statuses. Furthermore, you will handle purchase orders, identify new suppliers, and negotiate better pricing to enhance our procurement processes.

Key Responsibilities

  • Conduct research to determine stock requirements.
  • Execute orders for requested components.
  • Foster and maintain positive relationships with vendors.
  • Negotiate terms and conditions as necessary.
  • Ensure accurate maintenance of databases related to vendors, items, and purchase orders, including pricing, terms, availability, and due dates.
  • Guarantee timely product delivery and minimize delays.
  • Monitor orders and track delivery progress.
  • Coordinate product status updates with relevant departments or technicians.
  • Process and maintain comprehensive records for each purchase order, including verifying pricing against received invoices and payment terms.
  • Analyze market conditions, assess pricing and availability, and order new products while keeping precise records.
  • Negotiate pricing and supply agreements.
  • Evaluate and research potential vendors.
  • Perform additional duties as required.

Qualifications and Skills

  • Bachelor's degree or diploma in Business Administration, Supply Chain Management, Finance, or a related discipline.
  • A minimum of 5 years of experience in a procurement role.
  • Experience in inventory management.
  • Proficient in computer applications, including databases, spreadsheets, word processing, and MRP systems.
  • Strong numerical and analytical skills.
  • Highly organized with a keen attention to detail.
  • Excellent verbal, analytical, and interpersonal communication skills.
  • Ability to work independently and as part of a team.
  • Proficient in negotiating favorable terms with suppliers.
